Software, SaaS & Cloud (SAM)
Software, SaaS & Cloud
Licences, SaaS seats and cloud subscriptions in one view, reconciled against who actually uses them. Software cost is seat-priced and contract-governed — the questions are entitlement, utilisation and renewal, and each needs usage data joined to the contract rather than an invoice total.
What it covers
- Visibility of cloud and SaaS subscriptions and their costs with owner information, to the extent the customer's source data allows; identification of unused subscriptions and licence seats.
- Licence and seat counts compared against holder and usage data where source systems provide it.
- Contract end-date tracking to support negotiation.
- Cost reporting at user and provider level.
Entitlements, renewals and audit exposure
Software & SaaS covers licences, SaaS seats and cloud service subscriptions — for example storage and collaboration services: entitlements reconciled against usage per named owner, renewal and reclaim cycles on a calendar, and audit exposure — including indirect access — modelled before the auditor arrives.
Works with the tools you have
Already using Flexera, Snow or ServiceNow SAM Pro? Keep them. Alekstra integrates and extends their output into a cross-domain cost, ownership, lineage and ERP-allocation model — binding licences to accountable owners, modelling indirect access (SAP, Oracle, Java) and unifying software with your other domains. A SAM tool inventories licences; a ledger reconciles them against contract, owner and GL.
Why it is not the same problem as AI spend
A software seat is bought once and priced per user; AI inference is priced per token and moves with what your applications do. Renegotiating a seat price does little to consumption, and reclaiming seats does nothing to an API bill. They are handled as separate ledgers for that reason — see AI Cost Management for the consumption side.
This describes the service in general terms; fixed price, timeline, service levels and limitations of liability are confirmed at order. Delivery requires the customer's cooperation — providing the necessary data, access and authorisations on the agreed schedule. Personal data is processed in the EU by default.
How software and SaaS spend forms
Software cost is a function of how many seats you pay for versus how many are actually used, spread across a portfolio that tends to grow faster than anyone renews it. Move the utilisation slider to see how much of the bill is attached to seats nobody opened.

- Seats paid for, not used€15,12030 %
What this shape tells you
- A large share of the bill is attached to seats you told us are not in use. That gap is normally an entitlement and joiner-mover-leaver question rather than a pricing one.
- At this count you have a renewal most weeks. Without a calendar and an owner per contract, renewals pass by default rather than by decision.
- The number that matters is not seats purchased but seats entitled, used and reclaimable — which needs usage data joined to the contract, not just the invoice.
If you would like us to look at this with you, you can send these figures to our team. We will see the numbers you entered and which areas the calculator highlighted — nothing else, and no contact details unless you give them to us separately.
Illustrative and local to your browser: the sliders send nothing, and your figures stay on this device unless you press the button above. Defaults are placeholders, not benchmarks; replace them with your own figures. This shows how your spend is structured, not what you would save. Actual outcomes are established inside an engagement from your own data.

The Alekstra audit is where most engagements start — a fixed-scope review of the costs, contracts and risks in the areas you choose. No obligation.
